Cancellation & Refund Policy

How to cancel your membership and how refunds are handled.

1. How to Cancel

You may cancel through:

  • Our online membership-management or billing tools
  • Our Contact page

We do not require in-person cancellation for memberships purchased online.

2. Monthly Membership

  • Cancellation prevents the next monthly renewal.
  • You should cancel before the next scheduled billing date.
  • Access normally continues through the current paid period.
  • Cancellation does not automatically create a prorated refund.

3. Three-Month Membership

  • Cancellation prevents the next three-month renewal.
  • Access normally continues through the current prepaid term.
  • The current prepaid term is generally nonrefundable.
  • Cancellation does not automatically create a partial-term refund.

4. Drop-Ins

  • Used drop-ins are nonrefundable.
  • Failure to attend does not automatically create a refund.
  • If Prairie Fire Grappling cancels the applicable class, we may offer rescheduling, credit, transfer, or refund.

5. Builders Club

  • The Builders Club is a one-time package.
  • The included membership begins on the approved activation date.
  • Custom sizing and engraving information must be accurate.
  • Personalized or custom-produced items are generally nonrefundable after production begins.
  • If an included item cannot be provided, we may offer a reasonable replacement, credit, or refund for the undelivered portion.
  • Used membership time is generally nonrefundable.
  • The Builders Club does not automatically renew.

6. General Refund Rules

  • Completed membership payments are generally nonrefundable.
  • Partial-month and partial-term refunds are generally not provided.
  • Nonattendance does not automatically create refund eligibility.
  • Duplicate charges, confirmed billing errors, and incorrect charges will be corrected.
  • Refunds will be issued where required by law.
  • We may approve individual exceptions without creating an obligation to approve future exceptions.

7. Injury, Illness, Relocation, Military Orders, and Hardship

We will review requests related to injury, illness, relocation, military orders, or hardship individually through our Contact page. We do not promise an automatic freeze, credit, transfer, or refund.

8. Class and Schedule Changes

Temporary schedule changes, instructor substitutions, weather closures, and short-term closures do not automatically create refund eligibility.

9. Extended or Permanent Closure

In the event of an extended or permanent closure, unused prepaid services will be reviewed for an appropriate credit or refund where reasonably applicable.

10. Merchandise

Worn, washed, used, damaged, personalized, engraved, or custom-produced merchandise is generally nonreturnable unless it is defective or incorrect.

11. Approved Refunds

Approved refunds normally return to the original payment method. Processor or bank posting times may vary.

12. Payment Disputes

Please contact us promptly regarding any suspected billing error so we can resolve it. This policy does not prohibit lawful chargebacks or consumer complaints.

13. Changes

Changes to this policy will be dated and versioned.
